Administrative Assistant

Administrative Assistant
We are seeking a motivated and detail-oriented Administrative Assistant to support our property management team. The ideal candidate is highly organized, a strong communicator, and eager to learn affordable housing programs such as Project-Based Section 8 and Low-Income Housing Tax Credit (LIHTC). This position has potential for advancement into a Leasing Consultant role.



Responsibilities:

  • Greet and assist residents, applicants, and visitors in a professional and courteous manner

  • Answer phone calls, emails, and other correspondence; direct inquiries to appropriate team members

  • Prepare and maintain resident files, lease documents, and compliance paperwork

  • Schedule appointments, inspections, and maintenance requests

  • Assist with rent collection and rent posting in the property management system

  • Organize and maintain office files, supplies, and documentation

  • Provide administrative support for property manager and leasing staff

  • Support the leasing team with tours, application intake, and eligibility paperwork when needed

  • Learn and assist with leasing and compliance for Project-Based Section 8 and LIHTC programs

  • Attend training as assigned to grow into a future Leasing Consultant role



Qualifications:

  • High school diploma or equivalent required; associate degree or higher preferred

  • Previous administrative or office experience (property management experience is a plus)

  • Willingness to learn affordable housing programs (Section 8, Tax Credit, etc.)

  • Strong organizational skills with attention to detail

  • Excellent verbal and written communication skills

  • Proficient in Microsoft Office (Word, Excel, Outlook)

  • Ability to maintain confidentiality and handle sensitive information

  • Friendly, professional demeanor and a team-player mindset

Education:
The position requires the ability to read and write English fluently, the ability to accurately perform intermediate mathematical functions and the ability to understand and perform all on-site resident management software functions. 

Professional Experience:
A minimum of three (3) years’ experience in residential property management, preferably with a strong customer service background, 
  • Experience in residential property management leasing, or HUD compliance is a plus

  • Familiarity with Yardi, RealPage, or other property management software

This role is designed for someone looking to grow within the affordable housing industry. Training and mentorship will be provided with the goal of transitioning into a Leasing Consultant or compliance-focused role in the future

Skills:
The position requires, but is not limited to, the following:
Strong administrative and organizational skills (juggling multiple projects, tasks simultaneously)
  • Strong time management skills and the ability to prioritize wisely
  • Strong customer service orientation
  • Good understanding of sales and marketing concepts and the ability to develop, implement, and evaluate marketing plans
  • Knowledge and understanding of Affordable waitlists i.e. HUD and LIHTC
  • Ability to close a sale
  • Ability to operate and understand personal computer functions and company utilized software packages including LRS, Knock, posting on Craigslist, OneSite, Microsoft suite. 
Physical Demands:
  • Must be capable of physically accessing all exterior and interior parts of the property and amenities.
  • Must be able to push, pull, lift, carry or maneuver weights of up to 20lbs. independently and 50 lbs. with assistance.
Computer skills:
  • Basic knowledge of computers
  • Ability to use Outlook
  • Intermediate to advanced knowledge of MS Word and Excel, Yardi
  • Ability to develop advanced knowledge of other programs or systems as needed
  • Advanced Internet knowledge

Workplace Requirements

  • As indicated in the job title, this role will require a minimum of three (3) years’ experience in residential property management, preferably with a strong leasing in LIHTC programs and marketing background.
  • Monday-through-Friday is the primary work schedule, but evenings and/or weekends may be required on a regular basis and may not be fully known in advance.

This role is non-exempt and has an anticipated hourly pay range of $23.00-$25.00/hour for a new employee depending on a number of relevant factors including individuals’ experience, qualifications, knowledge, skills, abilities, client/property or company budgetary limitations/guidelines, and other job-related company and market considerations.  This position may be eligible to receive discretionary and/or performance-based bonuses on a spot or annual basis, which are variable depending on individual merit/performance, budgetary limitations, company performance, and other job-related factors.  This non-exempt role will be eligible for overtime for all hours worked in excess of 40 per week.  Full-time positions (30+ hours/week) are eligible for 2 weeks paid vacation, 3 weeks sick and related leave, 11 paid holidays, and health & welfare benefits as outlined on the Company’s website.  To learn more about our company and our benefits, go to:
